For the functional convenience, the library is divided into 7 sections Acquisition Section, Circulation Section, Console Room, Current Periodical Section, Digital Library, Technical Processing Section, and Reference Section.

Acquisition Section

Location : Third Floor of Tower. Take the Steel Staircase and follow the steps beyond Hall 5 entrance.


The Acquisition Section collects requests for books from the faculty, interacts and places orders with the selected suppliers, accessioned the procured books and transfers them to the Technical Processing Section for classification, cataloguing, indexing and database entry.
Book Procurement: Textbooks prescribed for courses bought in multiple copies, General and Reference books and Conference Proceedings purchased in single copies books received as gift from different national and international sources.
Requisition for Books Separate requisition forms for general and textbooks are available in the download menu. One may also access these forms from the library website. Faculty members who wish to recommend new books may please fill up and forward these requisition forms with the signatures of Library Representative and Head to the Acqusition section for further processing. Students may also recommend for textbooks by filling up the requisition forms by the course faculty, Library Representative and Head or course faculty and Dean and forward these to the Section.The Section attends to phone and email queries from the users. Apart from these, a register is kept in the Section to get feedback and for making general enquirers.
New Books Arrival The Section receives catalogues and brochures from various national and international publishers. Such materials are displayed in the notice board opposite to the Circulation Counter. Interested users may also browse these catalogues in the Acquisition Section.
Our motto is to serve the Institute community by alerting them about new books in their areas of interest, seeking recommendations for such books, and taking appropriate action to procure these publications in the least possible time.
Mode of Book Selection:
There are three modes of selecting books:
(1) The faculty members get to know about the books from such sources as journal articles, conference proceedings, brochures sent to them by publishers, and the Web. They send their requisitions to the Library in prescribed requisition forms and the Library decides the suppliers who are best suited to supply the books.
(2) Suppliers show copies of their books to the faculty members and the faculty members recommend some of these books for procurement to the Library.
(3) Certain books are received as Gift from different national and international sources.
(5) Suppliers: There are two categories of suppliers, approved and registered. Approved suppliers are those who have obtained approval from the IIT authority and registered suppliers are those who participate in the Technology Book Fairs. Placing Purchase Orders. The procedure for placing purchasing orders for book-fair and non-book-fair books is the same. Purchase proposals for the books selected by the department/center are received by the Central Library and purchase orders are placed with approved/registered book suppliers/publishing agencies after obtaining approval from the Departmental Purchase Committee (DPC). The steps in placing purchase order are given below.

Circulation Section

Location : Hall No 1, Entrance of the Library.


Central Library Membership: All the IIT employees, students and faculties are eligible for library membership. Central Library Registration Form is available at library. A retired IIT Kharagpur employees can take membership and borrow single book by paying Rs. 2000/- and for 3 books by paying Rs. 5000/- for the stipulated period of One Month as per usual terms and conditions by the central library subject to the normal fine of 1 rupee per day in case of any delay. These amounts are refundable. Employees of the schools, banks and other organizations in IIT Campus can take library membership by paying annual fees of Rs. 100/- in that case they are allowed only reading facilites in the library. Outside Organizations and Academic Institutions can become members of the library. In first yaer of its membership, an academic institution has to pay an amount of Rs. 10,000/-wheras all other organizations have to pay Rs.25,000/-. While renewing in subsequent years they have to pay an annual fee of Rs.5000/- and Rs.10,000/- respectively. Three selected employees of each organization are entitled to borrow a total of three books. Books must be returned within fifteen days, otherwise a fine of Rs.1 per day delay is charged.

Overdue Charges: A borrowed books should return within the due date, otherwise one rupee (Rs.1/-) per day per book will be collected from the user as overdue charge. Please check OPAC search's Patron link for your due date of returning the book and fine details
Rules:

  1. Users should check the physical condition of a book while borrowing the same.
  2. If the damaged book belongs to a set, then the user is responsible for the entire set.
  3. During power/system failures, the circulation counter services will be suspended.
  4. Immediately after the issue of a book, the user is required to take out the same from the library
  5. No book shall be returned on the day of issue.
  6. While leaving the library user should ensure that they carry only those books that are duly issued on their names,
  7. otherwise disciplinary action will be taken against them.
  8. User must check the Accession Number of the book issued by his / her name with the printed borrower's slip before
  9. leaving the circulation counter. No objection will be considered afterwards.
  10. Every user is requested to check the status of books outstanding against his/her name soon after a transaction at the counter. Discrepancy, if any, should be brought to the notice of the counter person immediately. Any complaint thereafter is not likely to be entertained.
  11. When there is an emergent demand for a borrowed book, the same must be returned within seven days to the library.
  12. Users are responsible for complying with the copyright act while photocopying library document.
  13. An outgoing member should return the library identity card and all the documents outstanding against his/her name along with his outstanding delay fine if any.
  14. If any member is found misusing /mutilating /stealing/ cutting pages from a book, disciplinary action will be initiated against him/her, beside withdrawing the library facilities.
  15. Improper use of library facilities by a member will lead to the suspension of termination of his/her membership.
  16. Use of Mobile phone is strictly prohibited inside library premises. If found, the membership as well as use of library facilities may be suspended.

Console Room

Location : Annex Building, Floor I.


Library Servers: The Console Room hosts all the servers 1. Library Automation Server 2. Library Web Server 3. Sun Solaris Thin / Client Server 4. Institutional Digital Repository Server 5. Standards Hosting Server 6. CCTV DVR Servers.

Current Periodical Section

Location : Annex Building, Floor III.


E-Subscription: The Current Periodical Section maintains a large collection of over 26,000+ journals and periodicals including print and digital versions. Now it is venturing into Open Access Journals. It also has access to various e-journal archives.

Digital Library

Location : Annex Building, Floor I.


Support Service: Digital Library provides a wide array of services to assist the members of the library with accessing the subscribed e-journal, e-database and other software. DL staff members provides Online research services allowing patrons to pose questions and get answers. Database support for Bloomberg, CMIE, ICCD JCPDS are available.

Technical Processing Section plays a key role to function the library. It makes a bridge between the acquisition of documents to the Circulation. The Technical Processing Section of IIT Kharagpur Central Library also plays a vital role to run the functioning of this library services smoothly.

ETD Section

Location : Third Floor of Tower. Take the Steel Staircase and follow the steps beyond Hall 5 entrance.


ETD Section: It makes a bridge between the research scholars who will submit their PhD thesis and the library. The ETD section is located in the "Technical Processing Section" of the Central Library. The section plays a vital role in running the thesis submition process smoothly.
